Summary:

The Scheduler edits the course catalog from information provided by department heads, produces and processes academic course registration materials, builds the academic schedule, distributes rosters and schedules, processes course change requests, and maintains the scheduling database. We anticipate this role will begin in the Spring of 2021. This is a part-time full-year position.

Essential Duties and Responsibilities:

  • In coordination with Registrar, set timeline for and publish academic course registration in the second semester

  • Edit upcoming year’s course catalogue sections received from department heads, prepare versions for press and web posting, including last-minute changes

  • Update and distribute academic course registration forms and instructions

  • Process academic course registration, conduct and report course lotteries

  • Collaborate with the Registrar, Director of Studies, and department heads to ensure students receive the appropriate permissions needed to request certain courses and to ensure students are on track to fulfilling graduation requirements

  • Build academic and Health & Wellness schedule using course registration information, teaching assignments, and scheduling requests received from department heads

  • Distribute rosters, schedules, and summaries to faculty, students, administrators, and staff (e.g., bookstore, Parents Weekend) at the start of each semester and as needed throughout the year

  • Process course change requests at the start of each semester and throughout the year

  • Collaborate with the Director of Studies to identify schedule options for placement-level adjustments

  • Identify sensitive scheduling issues and consult with the Dean of Academic Program and Equity, the Dean of Faculty, and the Director of Studies. 

  • Synchronize scheduling and registrar databases by conferring with the Registrar as late changes occur

  • Systematize procedures and remember many constraint details simultaneously when building the schedule

  • Process large numbers of forms accurately each day during drop/add periods and at registration deadlines

  • Communicate with software support personnel and with schedulers at other schools as needed 

Requirements:

  • Bachelor’s Degree 

  • Preference given to candidates with experience working for a school

  • Understanding of CA’s mission and goals, and the ability to embrace the school’s values

  • Highly motivated, results-oriented individual who demonstrates the ability to work well with people at all levels of an organization; takes initiative to problem solve, and employs keen judgement at all times.

  • Preference given to candidates with knowledge of scheduling software(s) and procedures

  • Must possess superior written and verbal communication skills

  • Edit others’ writing for spelling, grammar, factual accuracy, clarity, consistent style (course catalogue)

  • Collaborative and energetic individual with a sophisticated approach to relationship management.

  • History of working effectively with colleagues at all levels of the organization 

  • Must demonstrate curiosity, eagerness to learn, and commitment to continuous improvement.

  • Highest level of integrity, discretion, and respect for confidentiality and handling of sensitive information

  • Advanced knowledge of MS Office, Google Suite and facility with learning new software/databases

  • Knowledge of PowerSchool is a plus

  • Must be able to pass background checks
